Fall Creek is creating a world with better blueberries through its friendly, collaborative team spread across the globe. To help us accomplish this, we are seeking a qualified **Customer Relations and Service Representative**. This position will be located in **Paarl, South Africa.**
The Fall Creek Customer Relations and Service Representative provides exceptional customer relations and service to existing and potential customers of Fall Creek products in the international and domestic markets.
**ORGANIZATIONAL FIT**:
Directly reports to the Commercial Manager. Acts as a member of the customer relations, with exceptional service to the team, and works closely with the Grower Support Team. Coordinates SAP administration, commercial orders, sales reporting, ERP administration, legal documentation &
contracts, and shippingarrangements to meet the needs of the customer.
**JOB SETTING**:
Office setting, with some domestic travel may be required, and global collaboration with colleagues and customers
**ESSENTIAL DUTIES**:
**CUSTOMER RELATIONS**
- Set up as a new customer files, directing them to additional resources on blueberries and other vacciniums, and/ or taking care of their sales and customer service needs.
- Actively involved providing customer service to existing and potential customers.
- Frequent review of orders to verify correct pricing, package quantities, and other related information prior to order being processed.
- Responsible for the timely and accurate coordination of customer orders
- Executes all grower contracts and agreements.
- Corresponds with the Sales team on customer quotes and prepare relevant documents for customers.
- Assists customers with placing orders and scheduling shipments.
- Coordinates with the Sales team on all international order paperwork
- Communicates with the Grower Support Team and answers questions on pricing, customer order status, delivery schedules, and future production demands,
- Works closely with the Grower Support Team and Sales Managers to resolve customer queries, administrative needs, concerns and/or complaints.
- Represents Fall Creek to visitors and guests and attends industry-related meetings and tradeshows as needed.
- Assures the highest level of confidentiality on sensitive matters concerning the nursery.
**COMMERCIAL ADMIN**
- Provides administrative support to the Sales team, commercial manager and Grower Support Team at all times, relating to customer services
- Ensures complete and accurate order fulfilment including delivery of products to the customer
- Monitors inventory levels during order entry and notifies the Sales team of variances.
- Investigates variances on SAP
- Responsible for maintaining accurate data in the system.
- Performs order entry responsibilities, and various administrative tasks on reports (incl SAP)
**CUSTOMER SHIPMENTS**
- Responsible for shipping plants to our customers and to other designated locations.
- Plans and coordinates all shipments from the nursery to customer needs.
- Works with customers to determine if they prefer to arrange their own trucks or have FC-SA make the arrangements for shipping.
- Communicates shipping schedule with nursery operations staff.
- Manages the relationship with and monitor the performance of designated customs brokers and freight forwarders, and freight carriers. Acts as a liaison with customs brokers and carriers to resolve problems at all points in transit.
**CANDIDATE SPECIFICATION**
- Typically requires a National Diploma plus, 2-4 years’ experience in similar role, where the service focus was with customer service or relations.
- Strong administrative skills including professional telephone etiquette.
- Familiarity with MS Word and Excel.
- Intermediate skills using Outlook. Must have the ability to schedule meetings, enter tasks, and update calendars.
- Experience using an ERP system (SAP will be an advantage).
- Fast and accurate order entry skills.
- Excellent oral and written communication skills.
- Ability to create and sustain successful relationships with customers and colleagues, local &
international
- Ability to prioritize work within established guidelines and follow through on a variety of requests.
- Ability to work under tight deadlines.
- Ability to calculate figures and other numerical skills
- Collaborative team member, positive attitude, and exceptional organizational skills between colleagues
- Regular and reliable attendance at the primary place of business.
- Must demonstrate professional and ethical business practices, adherence to company values, and a commitment to personal and professional development.
