**_ Position Purpose:
_**
Responsible for the management of those activities involved in creating an environment in which the business can operate
(building, horticulture, cleaning, and general housekeeping of Port, etc). These are essentially non-core activities.
Management of SLAs for service providers rendering services to the Port and provide support to Property manager.
**_ Position outputs:
_**
1. Manage, implement, and monitor all Ports SLAs with service providers (building, horticulture, cleaning, and general
Housekeeping of Port, etc.) to ensure all required services at the Port are rendered efficiently and effectively.
2. Provide input to Property budgeting process as well as other department’s budgeting processes to ensure efficient
Financial management.
3. Manage all activities, which ensure compliance with SSHEQ (Safety, Security, Health, Environmental, Risk and Quality) in
TNPA occupied buildings this includes ensuring inspection are carried out timeously, audit reports are drafted, and mitigating
Actions are implemented where non-compliance is identified
4. Implementation of Port specification facilities strategy aligned to the Port business plan.
5. Manage space requirements and rationalisation of space at the Port to ensure optimal usage of available office space.
6. Responsible for management of non-leased area to ensure that no unauthorized occupation of Port premises.
7. Conduct pre-occupation inspections and compile a report before contracting and lease can be finalised.
8. Ensure lessee complies with Terms and conditions of lease agreement by means of regular inspections also ensure that
The tenant maintains the property as per infrastructure maintenance policy.
9. Jointly inspect the leased area with the tenant and compile entry, exit and ad hoc inspections.
10. Responsible for the management of maintenance/building construction/service contracts and all utilities for the Port of
East London.
11. To develop and manage a system and process of managing all customer complaints related to facilities management
(which includes the feedback to customers).
12. To ensure in conjunction with Port engineering department, that maintenance plans are in place for all TNPA leased
Buildings. Ensure implementation and management of departmental SLAs
13. Ensuring compliance to statutory and building regulations.
14. Responsible for the management of vacant buildings to ensure no unauthorised occupation of Port buildings.
15. Manage the NRE vehicle including mileage, servicing, licensing, and cleanliness.
16. Compile specifications for all maintenance and service contracts.
17. Responsible for verification of monthly payments, sign off and processing thereof.
18. Prepare spreadsheets for monthly utilities (water and electricity) then forward to Property Officer to capture on SAP.
19. Check utility simulations against utilities spreadsheets after captured on SAP by Property Officer for accuracy.
20. Manage Building Inspector and Facilities Administrator performance and planned work.
21. Assist the Property department in asset verification for all Port buildings.
**_ Qualifications &
Experience:
_**
- National Diploma in built environment- 5 - 10 years proven track record in property, facilities management and or property management issues including tenant
Liaison at the highest level- Any Facilities Management related certificate will be an added advantage
- Driver’s license code 08
OR
Years of Experience with a formal
Qualification:
Min 5 years’ relevant experience in a
Large enterprise of which at least 2 years
At managerial level or specialist
OR
Typical Qualifications:
Relevant qualification (NQF 7)
