Job purpose
Responsible for office and administrative support to the team. This role is vital for the smooth-running of a department. The incumbent will field telephone calls, receive and direct visitors, compile monthly board packs, word processing, creating spreadsheets and presentations, and filing.
Duties and responsibilities
- Answering the phone and taking detailed messages.
- Report on all tenant queries taken telephonically or in person at the office and ensure the Building Managers and Property Managers receive these queries promptly.
- Liaising with all “drop in” visitors.
- Handling of keys to vacant units. (Ensuring they are clearly marked and safely stored).
- Opening of vacant units for brokers.
- Maintaining meeting room bookings.
- Uploading of the Asset register.
- Deal with all printing requests for staff.
- Manage and control (in conjunction with the Building Manager) the ordering of consumables.
- Complete order forms and send to contractors on Fraxion.
- Filing.
- Typing take-back and take-on inspections
- Lease audits.
- Compile monthly report pack.
- All administration functions linked to role.
- Liaise and manage meter reading agency in terms of tenants.
- Leasing documentation and follow up for all GBP leases and regional Telco leases.
Experience and qualifications
- 2-3 years of administrative experience in a secretarial environment or similar, preferably in a property environment
- Matric - prerequisite
- Post Matric qualification will be an advantage
