A vacancy has become available at a fresh produce company in Epping, Cape Town. We are a FMCG Company.
**JOB OVERVIEW**:
The responsibility of the Office Administrator/ Debtors Clerk is to ensure all customers’ accounts are up to date and there are no arrears outstanding.
It is also to plan, lead, organize and control a range of administrative, financial, and managerial tasks.
RESPONSIBILITIES
To collect on all arrears accounts and ensure that customers remain within their credit terms and conditions.
To manage office procedures, payroll, controlling correspondence, designing filing systems, approving supply requisitions, assigning, and managing day-to-day administrative functions.
To manage the staff compliment in the administrative department.
SCOPE OF DUTIES**:
**Finance**:
- Manage Debtors - Collections and Age Analysis reports.
- Manage with Creditors - Preparation of payments for all vendors weekly.
- Ensure that all items are invoiced correctly and paid on time.
- Ensure all statements are sent out weekly &
Monthly.
- Loading pricelists on various portals and in-house system.
- Reconciliation of bank account, credit card, market account and petty cash.
- Credit Applications:
Ensure correct paperwork and load new customer’s account.
- Create and upload sku numbers.
- Assist with customer quotations.
- Ensure financial reporting is precise.
- Assist GM with financial reporting namely, forecasting, costing, budgeting and payments.
- Assist in other areas of the business as required.
**Clerical**:
- Customer correspondence and complaints.
- Preparing letters, memos, presentations, and reports.
- Ordering of stationery.
- Ensure that Attendance register is up to date and that new employees details are processed correctly.
- Ensuring that all filing is correct and up to date.
**Managing**:
- Provide general support to staff.
- Assigning day-to-day administrative tasks to staff members in the department and ensuring the execution thereof.
**Salary**:
From R10,000.00 per month
Ability to commute/relocate:
- Cape Town, Western Cape:
Reliably commute or planning to relocate before starting work (required)
**Experience**:
- Administrative office procedures, practices and equipment:
1 year (preferred)
