**Duties &
Responsibilities**:
- Placing monthly, weekly and daily orders on D365 / manual for stock required at office. Information supplied by Warehouse Administrator.
- Follow up on all orders placed with suppliers - report back to management on short stock and or back orders.
- Monitoring of Pragma portal and uploading adhoc and monthly quotes on the system.
- Placing direct orders with suppliers for larger client orders and following up with deliveries and getting POD back for invoicing.
- Processing paperwork for all orders - monthly contractual orders, ad hoc orders, installations - daily basis
- Completion of all quote requests to clients.
- Manage all delivery schedules, paperwork and make sure all orders are delivered in FULL.
- Collate all paperwork and send off to Bookkeeper for invoicing immediately - DAN, PO/Order Number and quote.
- Maintain complete filing - contracts, service slips, delivery notes.
- Checking of service slips against service schedule for the day and report any services that need to be caught up to the relevant operations manager.
- Assist with mid month and month end stock take count.
- Coordinate all queries received from clients to the supervisors and communication to be sent to client.
Complete weekly meetings with Operations Managers and DM.
- Technicians are to drive according to the road regulations of SA on prior planned routes, ensuring that the service team arrives safely, unharmed &
timeously at their destinations.
- Technicians are to comply with the Company Vehicle and Fuel Policies at all times.
- Technicians are to be in possession of a valid driver’s license and PDP at all times.
- Technicians are to complete vehicle checks every 2 weeks.
- Technicians are to report accidents, bumps, scratches or any defects on the vehicles to Management as and when it happens.
- Deliver a quality inspection and treatment service to exceed customer expectations.
- Provide customers with written evidence of service delivered and advice for maintaining pest free conditions Upsell. Tsebo Hygiene/Pest Control products and services and/or refer sales inquiries for leads to Sales Executives.
- Plan work routes efficiently and productively and achieves 100% state of service.
- Accurately submit reports and other related paperwork as required at specified time intervals.
- Design and carry out pest management plans.
**Skills and Competencies**:
Business management principles, including proven financial skills.
Strong supervisory skills.
Strong people skills and knowledge.
Strong on client relationships and strong communication skills.
3 years experience in a similar position is essential.
Computer skills - especially Microsoft Excel.
Data capturing (accurate).
AX and D365 experience an advantage.
Pragma OnKey an advantage.
Finance, accounting and administration experience or knowledge essential.
Organisational and administrative skills, honesty and integrity.
**Qualifications**:
- Minimum Matric/Grade 12.
- Bookkeeping and Admin certificate an advantage.
